6 Best Practices to Optimize Your Knowledge Base

AI Assistant for Agents

Structured content for AI does not mean adding more information. Above all, it means making relevant information easy to find, understand, and use.

The objective: create targeted, structured, and up-to-date content that AI can retrieve reliably. Good results with your AI assistants start with high-quality source content. Here are six best practices for preparing knowledge articles without increasing the workload of authors and reviewers.

1. Use source content that can be easily processed

  • Prioritize structured and readable formats, such as HTML, Word, or searchable PDF.
  • Avoid scanned documents or documents made up only of images. The text must be selectable.
  • Important visual elements should include alternative text, meaning a short description of the image, to make them easier to understand for users, accessibility tools, and AI.

Add relevant
metadata, including a clear title, a category, keywords, the product, and the version, where applicable.

2. Structure each article around a single need

Each article should answer one specific question, task, or problem.

Start with:

  • A descriptive title and a short summary.
  • Place the essential information at the beginning.
  • Numbered steps for procedures.

Titles
should reflect the reader’s intent, for example, “How to reset your password” rather than “Password problems.”

3. Use clear, consistent, and natural language

  • Write short and direct sentences.
  • Do not assume that all readers or AI systems are familiar with your internal jargon.
  • Define acronyms, products, and business terms the first time they are used.
  • Use the same terminology across different articles, while including the words and expressions that agents or customers naturally use.

Use
a question-and-answer format when it strictly corresponds to the way users ask for help.

4. Keep content concise and easy to retrieve

Break long topics into standalone sections, each of which can be understood separately.

  • Keep tables compact and easy to review.
  • Break up or summarize tables that are too large.
  • Avoid duplicate or overlapping articles.
  • Add links to related information.

5. Use metadata and filters to reduce ambiguity

When several pieces of content are similar, use elements such as:

  • Category.
  • Keywords.
  • Product version.
  • Customer type.
  • Target audience.

This information helps your AI assistants identify the appropriate answer. When certain rules are important, clearly indicate what should be done and what should be avoided.

6. Govern, test, and continuously improve

  1. Put a clear process in place:
    • Draft → Review → Approval → Publication.
  2. Also maintain:
    • Version history
    • A visible date of the last update.
    • Update the metadata every time the content changes.
    • Finally, validate the quality of the content in real-world situations.

Test search using real questions from customers and agents. Improve articles when results are missing, inadequate, or regularly reported as irrelevant.

Before publishing, ask yourself one final question:

Can an agent or customer understand this content and take action without additional context? If the answer is yes, the content has a much better chance of being retrieved and used effectively by your AI assistant.
